Privacy policy
This policy explains what personal data RAGA AI LTD, trading as Raga AI collects through this website and how it is used.
Who we are
RAGA AI LTD, trading as Raga AI is the data controller for personal data collected through this site. You can contact us at info@ragaai.co.uk.
- RAGA AI LTD
- Registered in England and Wales
- Company No. 17404094
What we collect
- Details you send us through the enquiry form or by email: your name, email address, company and what you tell us about your project.
- No analytics or advertising tracking is currently in use on this site.
Why we use it
We use enquiry details only to respond to you and to discuss possible work. We do not sell personal data, and we do not use it for advertising.
Lawful bases
UK data protection law requires a lawful basis for each purpose. The bases we rely on are set out below. We do not rely on consent for the uses described in this policy.
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries and discussing possible work | Legitimate interests in responding to genuine business enquiries and developing our business; and, where applicable, taking steps requested before entering a contract. |
| Managing business and client relationships | Performance of a contract where applicable, or legitimate interests in managing relationships with client organisations. |
| Website security and operation | Legitimate interests in operating a secure and reliable website and systems. |
| Legal and accounting obligations | Compliance with legal obligations where applicable. |
Legitimate interests means we have a genuine business reason to use the information — such as replying to someone who has contacted us about our services — and we have considered whether that use is fair and whether it would be unexpected or intrusive for the person concerned. We only rely on this basis where we are satisfied that it does not override your interests or rights.
How long we keep it
We have not adopted fixed retention periods for every category of information. Where a period is not set, we keep information only as long as we have a clear reason to, and apply the criteria below.
- Prospective client enquiries — Kept while the enquiry is active and for a short period afterwards in case you come back to us, then deleted.
- Active client correspondence — Kept for the duration of the engagement, because it is needed to deliver and manage the work.
- Former client and project records — Kept after an engagement ends for as long as needed to deal with questions, obligations or disputes arising from that work.
- Accounting and tax records — Kept for the period required by applicable tax, company and other legal obligations.
- Complaints records — Kept for as long as needed to investigate and resolve the complaint, to handle any escalation, and to learn from it.
- Security and technical records, where they exist — Kept only for as long as useful for operating and protecting our systems.
How our forms work
The enquiry form and the complaint form on this site do not send data to a server we operate. When you submit one, the details you typed are placed into a message in your own email application, which you then choose to send to info@ragaai.co.uk. Nothing is stored on this website.
Storage on your device
This site does not use cookies, local storage, advertising pixels or session replay. It uses one strictly necessary item of session storage to remember your scroll position while you move between pages, which is cleared when you close the tab. Typefaces are loaded from Google Fonts, so Google receives your IP address when serving them. See our cookie and storage policy.
Sharing
We use business email and standard office software to handle correspondence. We do not sell personal data and we do not share it for advertising.
Where it is necessary, personal information may be handled by, or disclosed to, the following categories of recipient. Not every category applies to every situation.
- Our business email provider
- Our office and cloud productivity provider
- Professional advisers, such as accountants or legal advisers
- Authorised delivery partners, where genuinely required for a piece of work
- Regulators, courts or law enforcement, where we are legally required to disclose
International transfers
Some technology providers used for business email and office software may process information outside the UK. We have not published confirmed details of where each provider processes information, so we do not claim that no international transfers take place. Where a restricted international transfer does occur, we will use an appropriate safeguard or transfer mechanism recognised under UK data protection law.
Security
We take appropriate technical and organisational measures designed to protect personal information against unauthorised access, use, alteration, disclosure, loss or destruction. The measures used depend on the nature of the information, how it is processed and the risks involved.
Our wider approach to security and governance in delivery work is described on our AI governance and secure delivery page.
Automated decision-making
RAGA AI LTD, trading as Raga AI does not use personal information collected through this website to make solely automated decisions about individuals that produce legal or similarly significant effects.
When we work for a client
RAGA AI LTD, trading as Raga AI is the controller for personal data collected through this website and through enquiries to us. When we deliver work for a client and handle personal data on that client's instructions, the client is normally the controller and RAGA AI LTD, trading as Raga AI acts as a processor under a written agreement. In that situation, requests about that data are usually a matter for the client, and we will pass them on or assist the client in responding.
Your rights
Under UK data protection law you may, depending on the circumstances, have the following rights.
- Access — to ask for a copy of the personal information we hold about you
- Rectification — to ask us to correct information that is inaccurate or incomplete
- Erasure — to ask us to delete information where there is no good reason to keep it
- Restriction — to ask us to limit how we use information in certain situations
- Objection — to object to uses based on legitimate interests (see below)
- Data portability — where it applies, to receive certain information in a portable format
- Withdrawal of consent — where we rely on consent, which is not the case for the uses in this policy
- Rights concerning qualifying solely automated decisions, which we do not make
These rights are not absolute and their application depends on the circumstances. There is normally no charge for exercising your data protection rights. To make a request, email info@ragaai.co.uk and we will respond.
Your right to object
Where we rely on legitimate interests, you have the right to object to our use of your personal information on grounds relating to your particular situation. If you object, we will stop that use unless we can show compelling legitimate grounds that override your interests, rights and freedoms, or we need the information to establish, exercise or defend legal claims.
If we ever use personal information for direct marketing, you can object to that at any time and we will stop using it for that purpose.
Complaints
If you are unhappy with how we have handled your personal data, please tell us using our complaints procedure. You can also complain directly to the Information Commissioner's Office at ico.org.uk/make-a-complaint. You do not have to use our internal process first.
